About the Role
The Receptionist will be responsible for front-of-house duties including phone etiquette, visitor management, communication and customer service, while ensuring the efficient day-to-day running of the office.
The role works closely with the Office Manager and Chief Executive Assistant to support daily office operations.
Key Responsibilities
Reception Tasks
- Greeting guests
- Answering the phone, taking messages and redirecting calls
- Overseeing meeting room reservations to prevent scheduling conflicts
- Maintaining the reception area and meeting rooms
- Arranging catering and refreshments for meetings
- Arranging post and courier requests via the post room

The role
IFPI is seeking a Global Charts & Certifications Analyst (6-month contract) to join the Global Data and Analysis team in London. The successful candidate will work closely with the Global Charts & Certifications Manager, alongside three analysts. This role will focus on supporting the delivery of IFPI’s national charts programmes and related projects during a six-month period, providing analytical, project and operational support to the team.
The Global Charts & Certifications function delivers the Official IFPI Global Charts, recognised by both artists and labels as the most accurate and important measure of global commercial success, and is responsible for developing the global landscape for national charts and certifications, as well as managing official charts around the world such as The Official MENA Chart and The Official Southeast Asia Chart.
General Responsibilities
- Supporting the production of weekly insights and reporting on global music consumption trends for senior executives at major record labels worldwide, as part of the IFPI managed national chart programme, including insights into the performance of songs and artists across countries.

This may include projects such as rolling out new charts programs in India and Sub-Saharan Africa, analysing global music consumption data for senior stakeholders, through to supporting public facing charts programs, across more than 60 countries around the world.
- Helping to deliver key global charts initiatives, including supporting research, analysis and documentation relating to the update of the Global Principles for National Charts, streaming fraud mitigation, and the impact of AI generated recordings on official charts worldwide.
- Responding to queries from senior global and regional stakeholders across the music industry, including compiling data and preparing ad-hoc analysis of charting tracks and artist performance, or helping to explain national chart best practice principles.
- Supporting the team with preparation of materials and research for key committee meetings, such as IFPI’s Main Board and global and regional charts committees.
- Supporting the Director of Data & Analysis with aspects of the commercialisation strategy for the national charts programme, including coordinating meetings, liaising with prospective partners and organisations interested in subscribing to charts data, and assisting with the implementation of commercial initiatives.
- Providing operational support for the national charts programme, including coordinating communications, tracking project timelines and deliverables, meeting scheduling and preparation of materials.
Position Requirements
The ideal candidate should have a bachelor’s degree, or equivalent working experience, with experience of delivering exceptional client service, preferably in an international role, and in supporting the delivery of projects and reporting outputs. The candidate should possess the following competencies:
- Excellent analytical and written communication skills, with the ability to work with diverse datasets and communicate actionable insights clearly with an outstanding attention to detail.
- Strong interpersonal and client management skills – listening, understanding client needs and producing quality briefs from client conversations as well as ability to build excellent relationships with stakeholders across a diverse global network.
- A self-starter with experience in managing and supporting projects, proactively working to ensure that timelines are met and deliverables are completed on time.
- Strong organisational and operational skills, with the ability to manage multiple tasks and support team coordination.
Desirable
- Advanced Excel skills preferred.
- Experience in producing and delivering high quality presentations via PowerPoint.
- Knowledge of and interest in the global recorded music industry.
